What information do we hold?
Our client database has the information you give when you book – generally your email address and your telephone number, and if you chose to fill in your address we will have this too. Our shared client database ONLY holds this information, we have no shared details of your treatments and health information.
Who can see this information?
All practitioners have access to the shared database so the list of people below can see your contact information. Practitioners agree to use this for contacting you regarding your appointments only, they will not use it for their own marketing purposes or any other purpose. What about information on my medical and personal history and the treatment I receive?
This is held only by the practitioner you see who will gather it from you in a consultation and write it on paper, which will be stored in a locked cabinet. Each of our practitioners is affiliated to a professional organisation and complies to a Code of Conduct which includes storage of information. If you see more than one practitioner you will need to give them your information separately unless you expressly ask practitioners to share something specific. Practitioners are required to keep notes for 6 years but you are free to ask for this to be destroyed at any time.
How do we use your contact information?
Your email address and telephone number are used to keep you informed of your appointments with booking confirmations, reminders, cancellation and rescheduling notices, reminders of the gate code and any updates to your appointment. Your email address is also used for our monthly email newsletter and occasional news flashes. This is to share information from West Norwood Therapies only and you can opt out from this mailing list at any time. You can also ask us to delete you from our overall database at any time.
What assurances can you give about individual practitioners at West Norwood Therapies?Complementary therapies are self-regulated and all practitioners at WNT are required to meet the regulations set by a professional body specific to their field, to be fully insured and to agree to WNT privacy guidelines.
